OFFICE ADMINISTRATOR
INDUSTRY: MINING & TRANSPORTATION

SUMMARY OF THE JOB:
The Office Administrator is responsible for providing administrative support while ensuring the effective management, organization, and control of company documents and records. The role includes maintaining accurate filing systems, managing document flow, and ensuring records are properly stored, updated, and easily accessible. The position also supports daily office operations, coordinates communication between departments, and assists with preparing reports and correspondence while ensuring compliance with company procedures, document control standards, and confidentiality requirements.
KEY DUTIES AND RESPONSIBILITIES:
• Maintaining, organizing, and updating both electronic and physical project documents, including contracts, reports, permits, and correspondence.
• Managing and maintaining all company documents, including certificates, contracts, and other official records.
• Ensuring that all project-related documents are stored in the appropriate location, categorized, and tagged for easy retrieval.
• Managing and coordinating office maintenance, repairs, office supplies, equipment, inventory and supplies.
• Ensuring the timely distribution of documents to relevant internal and external stakeholders, such as, drivers, operations manager and regulatory bodies.
• Ensuring that document control processes comply with both internal company standards and external regulatory requirements (e.g., ISO standards, industry regulations).
• Ensuring compliance with company policies and regulatory requirements, ie OSHA, BRELA, Municipal.
• Overseeing general office working environment and monitoring adherence to health, safety, and security standards.
• Handling document requests from team members and accurate delivery of required documents.
• Tracking the status of documents through the approval process, ensuring that necessary revisions are completed and approvals are obtained in a timely manner.
• Reviewing and verifying that documents are complete, accurate, and comply with internal quality standards, specifications, and industry regulations.
• Assisting in preparing reports for management, outlining document control activities and project progress.
• Ensuring safe and securing long-term storage and eventual archiving or disposal of project documents once they are no longer needed for active use.
• Coordinating the flow of information between different departments and project teams to support effective communication.
• Performing all other related duties assigned by your supervisor.
QUALIFICATIONS:
• Diploma or bachelor degree in Business Administration, or related field.
• Minimum of 2-3 years of experience in document control, preferably within the mining, construction or transportation industry.
• Strong organizational and time-management skills with a keen eye for detail.
• Excellent communication skills, both written and verbal.
• Ability to prioritize tasks and manage multiple document control activities simultaneously.
• Knowledge of construction or mining industry documentation and regulatory requirements.
• Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
• Ability to work independently and as part of a team.
• Ability to handle confidential information with discretion.
