Position: Receptionist
Department: Central Management

Job Summary
The Receptionist will serve as the initial point of contact for guests/clients, providing outstanding customer service and administrative support. The ideal candidate should have excellent communication skills, attention to detail, and a proactive approach to handling various tasks.

Key Responsibility Areas
  • Warmly greet and assist guests/clients upon arrival, maintaining a friendly and professional demeanor. Offer refreshments according to Asilia standards.
  • Manage all incoming and outgoing calls, accurately transferring them to the appropriate individuals while providing necessary information to callers.
  • Provide guests/clients with comprehensive information about our facilities and services, addressing inquiries promptly and accurately.
  • Maintain a clean and organized reception area, ensuring it is always tidy and presentable.
  • Update and maintain the internal telephone directory regularly.
  • Monitor and report any issues with the phone system to the relevant department for prompt resolution.
  • Assist in administrative tasks with accuracy and confidentiality.
  • Coordinate flight bookings for senior officials upon request, ensuring timely and efficient arrangements.
  • Handle office requests and concerns effectively, escalating issues when necessary to ensure resolution.
  • Manage inventory and ordering of office stationery to maintain adequate supplies.
  • Coordinate office meals for office functions, including set-up, food ordering, and payment of suppliers.
  • Coordinate accommodation and transfers for visiting Asilia members from abroad.
  • Update the Asilia blackboard daily.
  • Update the birthday list for all staff members monthly and share it with camps. Send an email to each camp congratulating the staff members celebrating a birthday.
Skills and Requirements:
  • Education: College diploma or equivalent; additional education or certification in office administration or hospitality is a plus.
  • Experience: Previous experience in a receptionist or customer service role, preferably in the tourism or hospitality industry.
  • Language Skills: Proficiency in English Language
  • Flexibility, reliability, and teamwork skills, as well as a positive and friendly attitude.
  • Knowledge of Tour Operations: Basic understanding of tour operations and the destinations offered by the company.
  • Professional Appearance: Maintaining a neat and professional appearance in accordance with the company’s standards.
