Duties

The Facility (FAC) Supply Clerk works under the direct supervision of the Building Engineer and is responsible for the acquisition, storage, inventory control, and issuance of building maintenance supplies, repair parts, and materials for the Facility Management Section.

Supply Management (80%)

Procurement:

• Supports FAC maintenance shops by obtaining supplies from GSO, ensuring that the right hand and powered tools, equipment and parts are ordered, stocked, and issued.
• In addition to GSO catalogs, searches local and US markets for best products and alternatives, and identifies obsolete items and replacement units to support maintenance operations.
• Liaises and negotiates with suppliers.
• Occasional petty cash holder.

Inventory Control:
• Organizes the storage and distribution of goods (expendable supplies, equipment, toolkits, etc.). This includes ordering, stock control, and transportation.
• Inventories items for quantities and conditions and reports overstock, shortages, and damages; follows established receiving, storing, and issuing methods and procedures.
• Checks items against receiving documents verifying accuracy and inspecting for external damage.
• Uses the Integrated Logistics Management System (ILMS) and the Computerized Maintenance Management System (CMMS) to coordinate and control the ordering cycle, including evaluation of performance and quality.
• Updates quantities and part numbers in ILMS inventory database for expendable supplies.
• Assures that adequate levels of supplies are maintained and in workable condition to support maintenance work-load requirements. Identifies items needing repair or maintenance and carries out minor tasks such as preserving with oil and grease, replacing broken handles, and sharpening rough edges with hand files.
• Requests replacement for damaged items and reports those requiring major repair.

Storage Space (Facility Management Lockable Storage) 20%

• Assures that stock items are properly labeled and placed in proper locations, making best use of available storage space.
• Moves incoming items to storage areas using hand truck, and other equipment; rearranges existing stock when necessary.
• Ensures the areas surrounding the FAC storage are free from debris and obstruction. Coordinates the removal of materials for recycling and the return of excess items to GSO for disposal.

Incumbent serves as an incidental operator of official vehicles and meets all requirements outlined in 14 FAM 433. Incumbent is expected to pick up and deliver supplies, as needed.

Qualifications and Evaluations

Requirements
:

Experience: Two (2) years of experience in supply/warehousing/expendables or property management is required.

Job Knowledge:

Thorough knowledge of parts, materials, tools, and equipment used in the different trades, to include building materials and their characteristics.
• Expert knowledge of warehousing, supply, and storekeeping practices.
• Must have a good understanding and knowledge of the operational environment in order to make recommendations on local vendors.

Education Requirements:

High School diploma is required.

Evaluations:

Language: Level III (Good working knowledge) Speaking/Reading/Writing English is required. Level III (Good working knowledge) Speaking/Reading/Writing Swahili is required. (This may be tested)

Skills And Abilities:

• Strong organizational skills.
• Basic computer skills in MS-Office and data entry.
• Must be able to able to lift a maximum of 51 lbs. (23kg) under OSHA standards.
