    John Snow, Inc. (JSI), a US - based technical assistance finn, is implementing various public health - related projects in Tanzania aimed at strengthening the Ministry of Health and Social Welfare's (MOHSW) service delivery, with funding from the United States President's Emergency Plan for AIDS Relief (PEP FAR) through USAID, CDC and other US agencies represented in Tanzania. JSI is recruiting for an Office Manager position ., on the Supply Chain Management System (SCMS) project.


    This is a full time position based in Dar es Salaam, Tanzania.


    The Office Manager position is central to the effectiveness of our day to day office operations. The person will S" ensure smooth running of activities in terms of office layout and set up, maintain adequate availability of office supplies, equipment and related services including management and maintenance of property and facilities, overseeing upkeep of premises, safety precautions and outsourced security services. The position holder will '., deliver on the above while leading a team of administrative personnel.


    Specific responsibilities will include, but not be limited to, the following:

    • Oversee office upkeep in terms of needed repairs and daily cleaning.
    • Coordinate all logistical support for staff and consultants, including transport, office set ups, hotel accommodations, conference bookings, etc.
    • Ensure that staff are well set up and comfortable in the office and surrounding premises.
    • Procurement of office supplies, including storage and monitoring of use by staff as appropriately required.
    • Liaise with travel agents to obtain reservations and tickets for all project- related in - country and international travel.
    • Coordinate with Front Desk Officer and other SCMS staff to create and maintain all administrative and technical files for the office, in an orderly manner.
    • Serve as the direct supervisor of the Front Desk Officer, Office Attendants and Drivers.
    • Work with drivers to ensure a regular maintenance schedule for all vehicles, and see to it that vehicles log books are kept up -to -date.
    • Work with the Deputy Country Director for Operations to ensure safety and daily security of office premises.
    • Work with administrative staff to develop and maintain adequate and constant availability of office and kitchen supplies.
    • Oversee maintenance of all office supplies and equipment, including the scheduling of routine maintenance, and oversight of outside services providers (except 11).
    • Serve as a liaison with office landlord, assisted by the Deputy Country Director for Operations and / or the Country Director when necessary.
    • Manage various service contracts in coordination with the Deputy Country Director for Operations for I both the office and expatriate staff residences including security, drinking water supply, generator maintenance, etc.
    • Ensure that visas, residential permits, and other legal requirements of expatriate staff are kept to date.
    • Coordinate with the Executive Assistant to ensure that clerical support for the project is available.
    • Perform reception duties Le. receiving visitors and answering phone calls in the absence of the Front Desk Officer.
    • Undertake any other responsibilities, tas~s or activities as reasonably required.


    The successful candidate for this position will possess the following minimum qualifications:

    • Tanzanian nationality.
    • First degree in business administration, public administration or related field, with not less than 2 years of office management experience in an international organization or multinational company.
    • Recognized vocational diploma in secretarial or administrative services plus 5 years of relevant work experience in a reputable organization.
    • Previous experience in office management work is a must.
    • Problem solving skills with experience in coordination and supervision of staff.
    • Strong verbal English and written communication skills.
    • Versatility and ability to multi task and take initiatives.
    • Experience in inventory management.
    • Proficiency in MS Office packages - word and excel.
    • Experience in manual and electronic filing system.
    • Assertiveness and ability to cope with work pressure.
    • Attention to detail and high level of accuracy.
    • Experience working with a foreign NGO preferred.


    The Office Manager will work under the guidance of the Deputy Country Director for Operations, who is his/her direct supervisor.
