Job Description: Operations Assistant​

We are looking for a proactive and detail-oriented Operations Assistant to support our day-to-day operations and contribute to the efficiency and professionalism of our growing organization.

Position Summary​

As an Operations Assistant, you will provide vital support to the operations team and assist the Head of Operations in managing both internal processes and external communications. This hybrid role includes administrative tasks, data handling, vendor coordination, and logistical support for both our trading activities and consulting engagements. You'll play a key part in ensuring our business runs smoothly and our clients receive seamless service.

Key Responsibilities​

1. Administrative Support​

  • Maintain digital and physical filing systems for trading and consulting documentation
  • Schedule meetings, manage calendars, and organize travel and logistics
  • Prepare reports, proposals, presentations, and client correspondence

2. Data Entry and Management​

  • Input and update client, product, and supplier information in internal systems
  • Generate periodic operational reports (e.g., sales performance, project status, inventory levels)
  • Ensure data accuracy across trading records, CRM systems, and financial trackers

3. Inventory and Supply Management​

  • Monitor and track stock levels for traded goods
  • Coordinate procurement and supply chain tasks including order tracking and shipping logistics
  • Work with vendors and partners to ensure timely deliveries and accurate documentation

4. Customer and Vendor Communication​

  • Respond to client and supplier inquiries via email and phone professionally and promptly
  • Coordinate with service providers, consultants, and business partners
  • Support client service delivery by following up on project tasks, deliveries, and feedback

5. Process Coordination​

  • Assist in implementing and optimizing business and IT consulting workflows
  • Track project timelines, deliverables, and internal task assignments
  • Support documentation for contracts, proposals, and operational procedures

6. Support to Operations Manager/Team​

  • Assist in budget tracking, expense reporting, and invoicing
  • Help organize company events, trainings, and business development activities
  • Recommend improvements to internal operations and contribute to process optimization

7. Technology and System Use​

  • Use tools such as Microsoft Office Suite, Google Workspace, and scheduling platforms
  • Operate CRM systems and assist with basic data extraction or analysis for business insights
  • Learn and use business tools relevant to trading (e.g., inventory software) and consulting (e.g., project management platforms)

Required Skills and Qualifications​

  • Bachelor's degree in Business Administration, Operations, or related field preferred
  • 1–3 years of experience in administrative, operations, or support roles (experience in a trading or consulting firm is a plus)
  • Excellent organizational and multitasking abilities
  • High attention to detail and commitment to accuracy
  • Strong communication and interpersonal skills
  • Proficiency in Microsoft Office Suite and Google Workspace
  • Familiarity with CRM or ERP systems a plus
  • Ability to work independently in a hybrid work environment
