Reporting to: Managing Partner
To provide a strictly private and confidential personal assistant role to the Managing Partner of M Group.To manage his workload, assist him in his tasks on hand and act as gatekeeper to him.
Main responsibilities
1. To provide a comprehensive secretarial and administration service to the Managing Partner across the range of his work.
2. To develop, maintain and review administration systems to achieve maximum efficiency.
3. To maintain and organise the Managing Partner’s diary, filing system and all other relevant areas as necessary.
4. To support the Managing Partner in his projects, proposals, bids, etc. through research,consultation, team-management.
5. To draft speeches, articles, briefings, and project proposals as requested by the Managing Partner
6. To professionally represent the organisation at sector networking events
7. To produce texts for the M Group websites and social media channels as requested
8. To facilitate meetings, schedule debriefing meetings so follow up action can be implemented. Also by arranging refreshments, seating and taking minutes if required to do so.
9. To co-ordinate staff/Board residentials and meetings
10.To respond to Board member and other stakeholder queries in a timely and professional manner, both orally and in writing.
11.To co-ordinate all senior management and Board member travel arrangements
12.To compile Board papers and ensure they are sent in good time for meetings. To circulate reports, minutes and agendas for Board and Sub-committee meetings. To liaise with the Chairman and other Board Members on various matters as required.
13.To be responsible for receiving enquiries and providing an effective referral service to service users.
14. To maintain the complaints file and ensure all complaints are responded to within target timescales.
15. To maintain and continuously keep up to date all M Group mailing lists.
16.To ensure the effective management and update of all relevant databases.
17.To liaise positively and professionally with colleagues and visitors;

PERSON SPECIFICATION

Qualification & Training
a. Educated to degree level standard or equivalent (desirable)
Experience
b. role; 2 yrs previous experience in a similar
Skills
c. Excellent IT Skills, including use of ICT packages i.e. Word, Excel, Power point,Access.
d. Strong interpersonal skills with an approachable personality;
e. Excellent letter writing and organisational skills
f. Proposal writing skills
Knowledge
g. Good knowledge of database systems and processes
h. Clear understanding of confidentiality
i. Health & Safety Legislation
Ability
j. Ability to work under pressure to agreed deadlines and adapt to change.
k. The ability to pay high attention to detail to ensure that high quality work leaves the organization
l. Ability to work in a flexible manner –out of hours as required.
